A landlord recommendation letter is a brief statement of facts written by a former landlord to a potential landlord to share the experience he had with a certain tenant who is interested in renting the potential landlord’s property.

John has been renting your home for over 5 years, and you have the greatest landlord-tenant relationship. For good reason, John may appear to wish to leave your home and apply to rent another. In such situations, John may ask you to write a recommendation letter for him in order to make his rental application stand out.

Because your tenancy has been good, do the right thing and provide him a reference.

The purpose of the Landlord’s recommendation letters is to provide the potential landlord with information about the landlord-tenant relationship you had with the renter. It recommends to the potential landlord that you are a responsible and financially stable tenant and that you adhere to the terms of a lease.

A former renter may include a recommendation letter without being asked to do so by the new landlord.

Other times, the letter is required by the new landlord as part of the rental application process.

It assures the potential landlord that the tenant can pay his rent on time and maintain the property because the letter will show that the potential tenant has a record of paying their rent on time and respecting the home and property where they once lived.

Generally, tenants should prioritize landlords from whom they have rented property for an extended period of time (at least 3 years) while seeking a landlord to write a recommendation letter.

This will demonstrate to the prospective landlord the tenant’s consistency and capacity to maintain a decent relationship with a landlord.

Tenants who have moved frequently should seek recommendations from past landlords with whom they have a solid rapport and who are close enough to provide a proper character reference.

Landlords are primarily concerned with reliability; so, a reference that supports the tenant’s reliability is vital.

How to write a landlord recommendation letter

A landlord recommendation letter is written in business letter format.

Begin with your address and contact information, followed by a date and the potential landlord’s address, if unknown, write ‘to whom it may concern, begin your letter by indicating that you are writing to recommend your former tenant (mention his name) and explain why do you think the tenant is a good fit.

Close your letter by leaving room for more queries. Log out with “Sincerely,” your signature, and your name.

So, to write an effective recommendation letter, I propose that you follow the guidelines below;

  1. Be simple and straightforward
  2. Maintain a professional tone
  3. Be honest
  4. If you know the recipient, include his or her name in the salutation.
  5. Mention the Tenant’s name
  6. Provide the address of the property that the tenant rented
  7. Provide the duration of your tenancy
  8. Explain why the tenant is reliable- rent payments, property maintenance, positive pet experience, etc,
  9. Do not refer to any of the tenant’s protected characteristics- race, religion, color, disability, medical condition, etc.
  10. Provide your contact information

Format of a landlord recommendation letter

Your landlord recommendation letter should take the following format

  • Recipient address/ ‘to whom it may concern’
  • Salutation
  • [opening paragraph]- A statement that you are writing to recommend your former tenant
