What is a renewal lease letter?

A renewal lease letter is a brief statement of facts written by a tenant to a landlord or by a landlord to a tenant declaring the intention to renew or extend the tenancy when the current lease expires.

In addition to the extension, you may use the lease renewal letter to propose other changes to the lease, such as raising or lowering the rent or adding property restrictions.

Is a lease renewal letter not binding?

Well!

A renewal lease letter is not binding, it is just an offer to renew the existing lease, once accepted you will have to sign a binding lease agreement that reflects the renewal terms.

What if you do not want to renew the lease?

Although this question is outside our topic, I will answer you.

If you do not want to renew the lease, you must notify the other party in advance.

And the best way you can do that is by sending a nonrenewal lease letter.

When to send a renewal lease letter?

A renewal lease letter is typically sent 30 days, 45 days, 60 days, or 90 days before the lease expires.

The exact number of days to send a renewal letter varies depending on the terms and conditions set forth in the lease agreement as well as the state landlord-tenant law in the state where the property is located.

For example, if your lease expires on May 31, 2024, the deadline for providing your 30-day renewal notice is May 1, 2024.

The following are the most important things to consider before sending a lease renewal letter to your tenant or landlord.

If you choose to ignore these crucial details, the consequences could be dire and irreversible.

The first thing to consider;

Is your tenant or landlord worth it?

This should be your first consideration.

There is no need to keep a tenant or landlord who is not worth your resources

It makes sense to maintain your tenants if they look after the property, is easy to work with, and pay the rent on time each month.

You won’t have to deal with the headache of finding new tenants, and you’ll guarantee that your apartment has the best tenants who will pay their rent on time.

On other hand, if satisfied with the quality of the property and your relationship with the landlord it’s better to renew the lease than bother finding a new one.

Timing

Time your time before time times you.

Verify your lease’s expiration date to be sure you’re requesting a renewal at the appropriate time.

For instance, if you offer a renewal 90 days before your lease ends, you and your renters will have 30 days to decide whether to proceed with the renewal or not.

If they are not interested, you would then have 60 days to find new tenants.

Check your local landlord-tenant regulations, as some towns and states have more stringent requirements for how far in advance a person must provide a notice of renewal.

Begin with your address and contact information, followed by a date and the landlord’s or tenant’s address, salute the landlord/tenant, and begin your letter by indicating that you are writing to notify your intentions to renew your lease, and provide the details of renewal.

Sign off with “Sincerely,” followed by your signature and name.

REMEMBER the primary aim of your renewal lease letter is to notify the other party of your intentions to renew the lease.

So, to write an effective renewal lease letter, do the following:
